Terms and conditions for using our English learning services

1. Acceptance of Terms

By accessing and using the services provided by Epitodouza English Learning Club ("we," "our," or "us"), you ("Student," "you," or "your") agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, please do not use our services.

These Terms constitute a legally binding agreement between you and Epitodouza English Learning Club, located at 123 Learning Street, Toronto, ON M5V 3A4, Canada.

2. Description of Services

Epitodouza English Learning Club provides English language education services including:

  • General English language classes (levels A1-C2)
  • Business English programs
  • IELTS test preparation courses
  • Conversation clubs and practice sessions
  • Private tutoring services
  • Language assessment and counseling services
  • Online learning platforms and resources

We reserve the right to modify, suspend, or discontinue any aspect of our services at any time with reasonable notice to enrolled students.

3. Registration and Enrollment

3.1 Eligibility

To enroll in our programs, you must:

  • Be at least 16 years of age (students under 18 require parental consent)
  • Provide accurate and complete registration information
  • Meet any specific prerequisites for advanced courses
  • Comply with Canadian immigration laws if you are an international student

3.2 Registration Process

  • Complete the registration form with accurate personal information
  • Submit required documentation (ID, previous academic records if applicable)
  • Complete a language assessment if required
  • Pay the registration fee and applicable course fees

3.3 Account Responsibility

You are responsible for maintaining the confidentiality of your account information and for all activities that occur under your account. You must notify us immediately of any unauthorized use of your account.

4. Payment Terms

4.1 Fees and Payment

  • All fees are in Canadian Dollars (CAD) and include applicable taxes
  • Payment is due in full before the course start date unless installment plans are arranged
  • A non-refundable registration fee of $50 CAD applies to all new students
  • Course materials are included in the course fees unless otherwise specified

4.2 Payment Methods

We accept the following payment methods:

  • Credit cards (Visa, MasterCard, American Express)
  • Debit cards
  • Bank transfers
  • Cash payments (in person only)
  • Installment plans (subject to approval)

4.3 Late Payments

Late payment fees of $25 CAD may apply to overdue accounts. Students with outstanding balances may be suspended from classes until payment is received.

5. Refund and Cancellation Policy

5.1 Cancellation by Student

  • Before course start: Full refund minus registration fee if cancelled 7+ days before start date
  • Within first week: 75% refund of course fees
  • Within second week: 50% refund of course fees
  • After second week: No refund available

5.2 Cancellation by Epitodouza

We reserve the right to cancel courses due to insufficient enrollment or other circumstances. In such cases:

  • Students will receive full refund including registration fees
  • Alternative course options will be offered when available
  • We are not liable for any consequential damages or expenses

5.3 Transfer Policy

Students may transfer to another course with 48 hours notice, subject to availability and approval. Transfer fees may apply.

6. Student Responsibilities and Conduct

6.1 Academic Responsibilities

  • Attend classes regularly and punctually
  • Complete assignments and participate actively in class
  • Respect the learning environment and other students
  • Follow instructor guidance and curriculum requirements

6.2 Code of Conduct

Students are expected to:

  • Treat all staff, instructors, and fellow students with respect
  • Maintain a professional and appropriate demeanor
  • Use technology responsibly and for educational purposes only
  • Respect intellectual property and confidentiality
  • Follow all safety protocols and facility rules

6.3 Prohibited Conduct

The following behaviors may result in suspension or expulsion:

  • Harassment, discrimination, or disruptive behavior
  • Academic dishonesty or plagiarism
  • Unauthorized recording or sharing of class content
  • Violation of facility rules or safety protocols
  • Illegal activities on school premises

7. Intellectual Property Rights

All course materials, including but not limited to textbooks, handouts, presentations, recordings, and online content, are the intellectual property of Epitodouza English Learning Club or licensed from third parties.

7.1 Permitted Use

  • Materials may be used solely for personal educational purposes
  • Students may take notes and make copies for personal study
  • Materials cannot be shared, distributed, or published without permission

7.2 Restrictions

  • No commercial use of any materials
  • No unauthorized recording or reproduction
  • No modification or adaptation without permission
  • All rights revert to Epitodouza upon course completion

8. Privacy and Data Protection

Your privacy is important to us. Our collection, use, and protection of your personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference.

8.1 Student Records

  • We maintain academic records in accordance with educational standards
  • Records are kept confidential and secure
  • Students have the right to access and correct their records
  • Records may be disclosed as required by law or with student consent

9. Limitation of Liability

To the maximum extent permitted by law:

  • Our liability is limited to the amount of fees paid for the specific course
  • We are not liable for indirect, consequential, or punitive damages
  • We do not guarantee specific learning outcomes or test scores
  • Students participate in activities at their own risk

9.1 Force Majeure

We are not liable for delays or failures in performance due to circumstances beyond our reasonable control, including natural disasters, government actions, labor disputes, or public health emergencies.

10. Dispute Resolution

10.1 Internal Resolution

We encourage students to first address concerns directly with their instructor or our student services team. Most issues can be resolved through open communication.

10.2 Formal Complaints

If internal resolution is unsuccessful, students may file a formal complaint in writing within 30 days of the incident. We will investigate and respond within 14 business days.

10.3 External Mediation

Unresolved disputes may be referred to mediation before pursuing legal action. Both parties agree to participate in good faith mediation efforts.

11. Changes to Terms

We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting on our website. Students will be notified of material changes via email or posted notices.

Continued use of our services after changes are posted constitutes acceptance of the modified Terms.

12. Termination

12.1 Termination by Student

Students may terminate their enrollment at any time, subject to our refund policy outlined in Section 5.

12.2 Termination by Epitodouza

We may terminate a student's enrollment for:

  • Violation of these Terms or our code of conduct
  • Non-payment of fees
  • Disruptive or inappropriate behavior
  • Academic dishonesty

13. Governing Law

These Terms are governed by the laws of Ontario, Canada, and federal laws of Canada. Any legal proceedings must be conducted in the courts of Ontario.

15. Severability

If any provision of these Terms is found to be unenforceable or invalid, the remaining provisions will continue in full force and effect. The invalid provision will be replaced with a valid provision that most closely reflects the original intent.
